Event Support


Our live event support includes single and multi-camera shooting, post-production content matching, and live-streaming.

There are event types we are asked to capture that do require us to charge fees, so that we can appropriately fund and prioritize our resources.

The Media Production Studio is funded by KU IT to support KU instruction, research, and departments, by providing video capture and production services.

In order to prioritize staff and resource allocation properly, we have three tiers of client/project types.

The tiers are defined by the use of the multimedia content and the way in which the project would be funded. You can find detailed descriptions of the three tiers on the following tabs.

Level 1 Clients - Classroom Instructional Support and Academic Research Presentation

Description:

These are activities in direct support of classroom instruction. Or Faculty/Staff in a department that issues academic credit to enrolled students. Or presentation of research conducted by University of Kansas Faculty. In the case of production of online instructional content, it might be our recommendation that KU partners like CODL and CTE be included in consultation or production of production materials or the project itself.

Level 1 Clients are given priority over other production requests.

Services and Charges:

Level 1 Clients usually incur no direct charges for MPS services.

  • Class and Event Capture and Streaming - no charge.

    Recorded content will be delivered in HD-quality digital formats via streaming and/or download links. If hardware/software is available in a specific space, capture and streaming platforms may be utilized (Echo 360, Zoom, etc).
  • Production Project Support - no charge.

    Projects will directly support KU departments, research, and instruction; all points of delivery cycle from planning to delivery, studio projects and remote or on-location projects. All major projects will include a MPS Scope of Work and Project Agreement. Projects will be delivered in HD-quality digital formats via streaming and/or download links.
  • Duplication and Conversions - no charge.

    All conversion and duplication services are offered at no cost to Level 1 clients. We do ask that you provide media (DVDs, for instance) for duplications requests greater than five. Turnaround times vary based on the size of the request and/or the amount of requests in queue. Our typical turnaround time is one-week. Duplications and conversions will be delivered in digital formats via streaming, download links, or external hard drive loan. Important Note: The Media Production Studio will not convert or duplicate copyrighted media without written permission from the copyright holder.

Occasionally, a major Level 1 Client project may require full or partial-charge back for labor costs, due to the human and hardware strains that the project may inflict to Media Production Studio resources. This will be determined at the time the project proposal is submitted. Costs for any equipment that must be rented, or rights to media that must be purchased, will also be charged back to the Level 1 Client.

Level 2 Clients - Training, Marketing, and Promotion for KU Departments

Description:

While most Level 2 Clients do not incur charge-back, primary usage of MPS resources must be allotted to Priority 1 Client work.  So support of departmental training and promotion projects will be weighed against Level 1 workload.

Services and Charges:

Level 2 Clients usually incur no direct charges for MPS services.

  • Departmental Event Capture and Streaming - no charge.

Level 3 Clients - Grant-Funded Events and Projects, and External-to-KU Customers

Description:

Level 3 Clients are defined as externally funded projects/events.  Most obvious examples are conferences or speaking engagements hosted at a KU facility, but the agenda is externally funded.  (MPS does not support production events at non-KU facilities.)  As departments and organizations plan on the costs of these events (speaker fees, food, etc.), their video streaming, capture, and archiving needs should be included in the budget.    

Services and Charges:

With Level 3 Clients, all costs, direct and indirect should be recovered.  All Level 3 projects can request a MPS Scope of Work and Project Agreement.

  • Event Capture and Streaming Rates

    Recorded content will be delivered in HD-quality digital formats via streaming and/or download links. Closed Captioning will be provided for on-demand content by MPS (included in cost).  All costs associated with live programming accessibility (live captioning/CART services) will include an outside vendor and be the responsibility of the client.If hardware/software is available in a specific space, capture and streaming platforms may be utilized (Echo 360, Zoom, etc).   

     

    • Single Camera (1 tech staff) Capture:  $100/hour (minimum, 2 hours)
    • Multi-Camera Switching:  $100/hour for each tech staff (usually 2-3 staff) (minimum, 2 hours)

       
  • Production Project Support Rates - $100/hour per MPS staff member

    Projects include support for all points of delivery cycle from planning to delivery. Both studio projects and remote or on-location projects. Projects will be delivered in HD-quality digital formats via streaming and/or download links.  Closed Captioning will be provided for on-demand content by MPS (included in cost).

    • Studio Rental Fee: $100/hour (1 tech staff included) (minimum, 2 hours)
    • Sound Booth Rental Fee: $60/hour (minimum, 2 hours)
    • Post-Production: $60/hour (minimum, 2 hours)

In addition to the fee structure above, the Media Production Studio will prioritize the mission-critical Level 1 and Level 2 projects during scheduling.
