Equipment Checkout

The goal of our equipment checkout program is to provide the KU community with equipment to enhance instructional, departmental, or academic experiences. For information about our checkout policies and a complete list of the equipment available for checkout see below.

Who Can Checkout Equipment:
You must be a currently enrolled student or employed faculty or staff member to checkout equipment.

Equipment Not for Use on Commercial Productions:
We are here to provide faculty, staff and students with production resources to help them create KU-related projects, as well as to help them build personal multimedia skills and literacy. However, we are not funded to provide KU faculty, staff or students with equipment for non-KU-affiliated commercial or for-profit productions. Please seek other resources for your non-KU-affiliated commercial or for-profit productions broadcast content needs.

Reservations can be made up to six months in advance in-person, by email at or by phone at 785-864-6452. If inventory is available, walk-in checkouts are fine. Checkout and return hours are weekdays from 8:00 a.m. - 5:00 p.m.

Checkout Duration:
Most of our items are available for 2-night checkout (e.g., equipment checked out Monday is due back before 5:00 p.m. Wednesday). Since we're not staffed on the weekends, Thursday or Friday checkouts are due back by 5:00 p.m. the following Monday. See "MPS Equipment" below for exceptions.

Number of Items Per Person:
Only one of each type of item (and its accessories) can be checked out per client. For example, a single client can checkout one camcorder at a time.

KU ID Required at Checkout:
You must show your KU ID when picking up equipment. If you'd like have another student or staff member pick up equipment on your behalf, please let us know beforehand who that person will be.

Late Fees:
Faculty, staff and students can checkout our equipment at no cost. It is important that all equipment is returned on time so it's available for the next person. To ensure equipment availability and guarantee reservations, we charge $5/day for late orders where the equipment value of the order is under $500. And $10/day for orders valuing more than $500. Late fees will be sent to the KU Bursar's Office » and enrollment holds will be placed until the fees are paid.

Lost, Stolen & Damaged Equipment:
We expect equipment to be returned in the same condition it was checked out. In the event of equipment loss or damage outside of the normal use of the equipment, replacement (or repair) value will be charged to the client.
